Part-Time Secretary

(20 hours/week)



POSITION DESCRIPTION

PURPOSE

The Secretary is the face of Advent Lutheran Church to the community. Their welcoming, grace-filled presence is an example of who we are. The Secretary manages the day-to day operations of the church office and serves as the first point of contact for phone calls, emails, and office visitors. Assists the church community in the smooth operation of its ministries. Supports the mission, vision, and values of the Advent Lutheran Church.


QUALIFICATIONS

  • Ability to use a computer.
  • Experience with Microsoft Office Suite (Outlook, Word, Excel, Publisher, PowerPoint). 
  • Experience with online worship planning program (Planning Center Online preferred).
  • Experience using website software (Duda preferred).
  • Experience using email marketing program (MailChimp preferred).
  • Experience using online calendaring program (MyEvents preferred). 


ESSENTIAL JOB FUNCTIONS


Administrative Support

  • Greets visitors & callers, directing inquiries to the appropriate people, taking messages as needed.
  • Monitors church email account and distributes messages appropriately.
  • Monitors and order supplies, including but not limited to office, copier, hospitality, altar guild, etc.
  • Maintains church files (hard copy and on church computer), ensuring regular back of church computer files.
  • Maintains copies of monthly and annual council/committee reports for congregation.
  • Coordinates the creation of new church directories. Publishes directory addendums.
  • Creates forms, flyers, and other materials as needed.
  • Maintains congregational calendars.
  • Maintains schedules for lectors, assisting ministers, and altar flower donors, reminding signed-up volunteers of their commitments, and provides appropriate materials in a timely manner to them.
  • Prepares worship & announcement slides for church services as needed (Sundays, Wednesday nights, special services), using PowerPoint software.
  • Creates & coordinates production of all worship bulletins; weekly & special occasions as needed.
  • Maintains the prayer list and send out email prayer requests as needed.
  • Sends weekly “PRAY+CONNECT” messages via MailChimp.
  • Publishes a monthly newsletter.
  • Maintains the church website.
  • Performs general administrative duties (typing, filing, and photocopying).

 

Facility Support

  • Distributes mail to committee members.
  • Sets up the narthex and sacristy weekly.
  • Coordinates the distribution of church keys.·     
  • Manages questions regarding the use of the fellowship hall.
  • Manages the maintenance of the office photocopier.
  • Maintains the VoIP phone system.
  • Directs questions regarding the maintenance of the building and grounds to the appropriate people.
  • Assists Tuesday Crew (property committee) with on-site contractors and repair services.
  • Communicates with the janitorial service
  • Refills sanctuary supplies as needed (usher forms, prayer request forms, and offering envelopes).
  • Assists families with set-up for memorial services as needed.


Performs other duties as required to keep the church office running smoothly and efficiently.


Salary: $21, commensurate with experience

Hours: Mon-Fri, 9 am - 3pm or 8am -2pm
